Mail Merge and Email Templates

Please Note, Custom Email Templates are not available on the Sponsorship and Campaign plans, only on Essentials, Pro, and Pro Plus plans.  

In REACH Mail Merge Templates can be used to create a number of documents including custom donation receipts, contribution statements, sponsorship flyers, address labels and more.  

You can create Mail Merge Templates for your organization by going to Settings / Mail Merge Templates.  
From here you can copy an example template to get started or create a template from scratch.  

When you click edit, you can use the editor to add images and text and use the Insert Field to add information about the sponsorship, donation, account, or supporter.  The information will be auto generated when the mail merge is created.  

After you have created your templates, you can go do a donation record or supporter record or sponsorship record and use the Generate Mail Merge button.  In the video example, we will create a sponsorship flyer for one of our sponsorships.  Select the template, click Generate and a PDF will be created and downloaded to your computer.  You can then print out or attach the PDF to an email as needed.  

Mail Merge is also available in reports.  Run your report, select your choices to run the mail merge on and click the Generate Mail Merge button.  A PDF will be generated from all the results from your report selection.  

You can also edit your Email Templates in REACH.  Please Note, Email Templates are available on the Essentials, Pro, and Pro Plus Plans.  

Email Templates are used by REACH when emailing your Supporters on your behalf.  Emails are sent using one of nine email templates based on supporter interaction with REACH.  For a list of what types of emails use which templates, please see the article: "What is each email template used for?"

To view and update your Email Templates, go to Settings / Email Templates. If this is your first time viewing your Email Templates, you may need to click a Generate Email button for the templates to appear.  To edit your template, click the blue Edit icon.  

Similar to the Mail Merge Templates, you can use the editor to add images and text and use the Insert Field to add information about the account, supporter and other information.  You can also preview the template by clicking the Preview icon.  

We recommend you review all your templates and add information needed to represent your organization such as your logo.
